Prioritization Methodology
 
Under the Custodial, Grounds, and Maintenance Manager's supervision, the Foreman are responsible for prioritizing all work submitted to the department. Work is prioritized as follows:
    • Emergency: (1-day Working Day Response) Work requested is intended to protect the life, health, and safety of students and staff, legal compliance, and prevent injury or damage to the facilities or equipment. 
    • Urgent: (2-day Working Day Response) Issues that require immediate attention. Intended to ensure the functioning of the school or learning environment.
    • Priority: (7-day Working Day Response) Work requested is not an Emergency or Urgent. Priority requests are time sensitive and are scheduled to be completed within seven days.
    • Routine Scheduled: (30-day Working Day Response) Work requested is cosmetic in nature or is not interrupting the learning environment or may need to be scheduled when work will be less intrusive to the learning environment. 
 
Facilities Services is committed to immediately responding to an emergency situation(s) that may arise at any of the facilities operated by the District. Emergency situations must be called into Facilities Services immediately using the general line 626-943-6500 prior to submitting the Work Order request. 
 
Examples of an Emergency Work Order but are not limited to:
  • Sewage Water (Black Water)
  • Smoke/Fire - Call 911 then call Facilities Services
  • Smell of Natural Gas - Call the Gas Company then call Facilities Services
  • Student and site staff safety - i.e. Trapped in an elevator  
  • Broken glass and/or doors - cutting hazards 
Urgent: 
  • Inoperable locks where a space cannot be secured
  • HVAC - uncomfortable space temperature
  • Water Outages - loss of domestic water
Priority:
  • Ceiling Tile Replacement 
  • Ballast Out
  • Plumbing 
Routine Scheduled:
  • Signage 
  • Installation of new shelving and cabinetry
  • Assembly or dismantling of desks, partitions, etc. 
  • Painting 
  • Backpack hooks
 
When calling to receive an update on a particular work order, make reference to the work order number.
